Host Booking Management Guide
If you're new to hosting, this guide is for you.
We'll walk you through the booking process step-by-step.
1. A New Booking Has Arrived!
New bookings can be viewed in the SpaceCloud Host Centre. A notification email will also be sent to you when a new booking is requested or confirmed, so please remember to check your email.
1. Calendar Menu
You can view all current bookings in the [Bookings] tab of the [Calendar] menu. Note that canceled bookings do not appear on the calendar.
2. My Bookings Menu
To view bookings of all statuses, click the [My Bookings] menu. This is the most convenient way to find bookings based on their status or time period.
2. Manage Bookings Based on the Booking Type
You can check and manage the booking type for each space in the [Spaces] menu.
Instant Booking
Guests can book your space as soon as one hour in advance. Bookings are confirmed immediately upon payment without your approval.
- Example: If it's 9:10, a guest can book your space for 10:30 on the same day.
- Tip: Try Calendar Sync! Since bookings are confirmed instantly, use the Calendar Sync or Manual Booking features to prevent double bookings.
Approval Booking
Guests can submit a request at least seven hours in advance. The booking is confirmed only after you approve it and the guest completes the payment.
- Example: A guest can request a booking for 4:30 PM if it's currently 9:10 AM.
- Tip: The Faster You Approve, the Better! Your average approval time is displayed on your space's page. Faster approvals will help build guest trust.
Please note:
• If you don't approve a request within three hours, the request will be automatically canceled.
• If the guest doesn't complete the payment within three hours after approval, the booking will be automatically canceled.
3. Check the Booking Status
SpaceCloud uses the following terms to show the status of a booking:
Pending: Awaiting host approval of the guest's request.
Payment Due: Awaiting payment from the guest after host approval.
Confirmed: The booking is confirmed after payment.
Completed: The guest has used the space.
Cancelling: The guest's cancellation request is being processed.
Cancelled: The cancellation is complete.
4. Communicating with Your Guests
Once a booking is confirmed, you can use the messaging feature to share essential information with your guests, such as directions and space rules. It's also a great way to handle their enquiries and ensure smooth booking process.

5. No-Show Policy
If a guest does not show up for their booking, no refund will be issued, and the booking will be marked as "Completed." To prevent no-shows, consider messaging guests beforehand to confirm their arrival time.
6. Important Notes
- All bookings must be managed within the SpaceCloud system, as these records are the basis for payouts and dispute resolution. Bookings made outside the platform are not protected.
- Booking details cannot be changed once payment is complete. To make a change, you must cancel the existing booking and create a new one.
- For privacy, guest information will be hidden after a booking is completed or canceled.
- Frequent cancellations or delays in approving bookings may result in your space being restricted from search results or receiving a penalty.
