A Risk Assessment is a documented process of identifying potential hazards within a space and outlining how these hazards are being managed. It's a crucial procedure for ensuring guest safety and clearly defining your responsibilities as a host.

Examples of potential hazards:

• Trip hazards: Slippery floors, uneven stairs, exposed wiring.
• Fire hazards: Potential for fire outbreaks.
• Emergency preparedness: Lack of clear emergency exits and evacuation routes.

 

2. Why Should You Upload a Risk Assessment

Uploading a Risk Assessment is important for several reasons:

• Builds guest trust: It shows guests you're proactive about their safety.
• Ensures compliance: It helps you meet UK health and safety regulations.
• Clarifies liability: In case of an incident, it clearly defines responsibilities.
• Aids insurance and claims: It can be helpful when getting insurance or making a claim.

 

3. What to Include in Your Risk Assessment

When completing your risk assessment, you should include:

• A brief description of the space.
• A list of hazards, categorised by area or activity.
• Details on who could be harmed by each hazard and how.
• The control and prevention measures in place for each risk.
• Emergency evacuation procedures and first aid information.

 

4. How to Upload Your Risk Assessment File

Before Submitting for a Space Review
If you are in the initial stages of listing your space and haven't yet submitted it for review, you can upload your Risk Assessment file during STEP 2 - Space's Safety & Security.

After Space Review Approval
If your space has already been approved, you can upload your Risk Assessment file at any time via the following path:
1. From the [Spaces] menu, select your space.

2. Click the [Edit >] button under the [Space's Safety & Security] section for that space.

 

3. Click the [Upload File] button in the Risk Assessment section.

4. Attach your PDF or Word file (maximum 10MB).

5. Click the [Save] button.

You can update the file anytime if your space’s risk assessment changes.

Q. Is it mandatory to upload a Risk Assessment?
A. While not strictly mandatory for small meeting or personal spaces, we highly recommend uploading one for safety management and trustworthiness. It may be required for spaces involving events, corporate use, or activities with children.

Q. Can a simple memo be uploaded instead?
A. We recommend a formally documented file, as it can be shared with guests or insurance providers if needed.

Q. What file formats are supported for upload?
A. We support PDF, DOC, DOCX and ODT formats.

Q. What if my space undergoes changes?
A. You can re-upload a new version of your Risk Assessment at any time to reflect updated information.
